OPERATIONAL RULES
Everything Must Be Logged in the CRM
If an event, conversation, commitment, or piece of intelligence relating to an opportunity is not recorded in the CRM, it does not exist as far as the business is concerned. Notes, emails, call outcomes, and client commitments must be documented inside the opportunity. The CRM is the single source of truth - not inboxes, not chat threads, not memory.
Observance of the Rule
- Any team member can pick up an opportunity and understand its full history without asking the owner.
- Sales managers can review opportunity context without relying on the salesperson to brief them verbally.
- Client commitments and agreed next steps are on the record.
- Opportunity handoffs, escalations, and cover arrangements are seamless because the context is always in the system.
Violation of the Rule
- Opportunity context is fragmented across inboxes, chat tools, and personal notes - invisible to everyone except the opportunity owner.
- Sales managers must brief themselves verbally before every opportunity review, wasting time and introducing errors.
- Client commitments go untracked and are at risk of being missed or disputed.
- Opportunity handoffs fail because the incoming owner has no context to work from.
SALESPERSON
Execution
- Log all call notes, meeting outcomes, client objections, and commitments directly on the opportunity record in the CRM immediately after they occur.
- Email clients from within the CRM so the correspondence is automatically logged against the opportunity - do not email from a personal inbox and then manually copy content across.
- If a client sends an important email to your personal inbox, forward it to the opportunity or log a note summarising the key points.
- Treat the CRM as your working environment for all opportunity-related communication - not a reporting tool you fill in later.
SALES MANAGER
Execution
- Never rely on verbal briefings, external emails, or chat messages to understand the context of an opportunity - all of that information should be in the CRM.
- If you have a question about an opportunity, ask it by tagging the salesperson within the opportunity in the CRM - not by email, not by chat. This keeps the question and its answer on the opportunity record.
- If you find opportunity context living outside the CRM, direct the salesperson to move it in and enforce the rule.
CRM ADMINISTRATOR
Execution
- Configure note-related automations to make it as easy as possible for salespeople to log notes directly against an opportunity - reduce friction, not add it.
- Audit integrations and communication channels to identify where opportunity-related conversations are happening outside the CRM, and work to bring them in.
- Set up email integration so that all client correspondence sent from within the CRM is automatically logged against the correct opportunity record.
