OPERATIONAL RULES
Opportunities Are Only Won at the Final Stage
An opportunity can only be marked Won at the final stage of the pipeline. This is not a discretionary rule - it is a structural one. An opportunity marked Won at any earlier stage creates a false conversion event, corrupts stage-by-stage conversion rate data, and may trigger automations prematurely. Opportunities can be marked Lost at any stage, because a disqualification event can happen at any point in the process.
Observance of the Rule
- Closing rate metrics are accurate and trustworthy.
- Stage conversion data reflects the real path opportunities take through the process.
- Won automations - including onboarding triggers, invoicing, or handoff workflows - fire at the correct moment.
- Lost analysis is clean because losses are recorded at the stage where the disqualification actually occurred.
Violation of the Rule
- Closing rate metrics are inflated and untrustworthy.
- Stage conversion data is corrupted because Won events occur outside the expected stage.
- Automations tied to the Won event fire at the wrong time, potentially sending premature communications to clients.
- Revenue forecasts based on Won opportunities become unreliable.
SALESPERSON
Execution
- Only mark an opportunity Won when it has reached the final pipeline stage and all conditions for a closed opportunity have been met.
- Mark opportunities Lost at the stage where the disqualification occurred - do not move the opportunity backward first.
- Do not use Won as a shortcut to clear the pipeline - if the opportunity is not genuinely closed, it must remain open or be marked Lost.
SALES MANAGER
Execution
- Audit recently Won opportunities to confirm they were closed at the correct final stage.
- If an opportunity is found to have been marked Won prematurely, escalate to the CRM Administrator for correction and debrief the salesperson on the rule.
- Reinforce the distinction between a verbal commitment and a Won opportunity in pipeline reviews.
CRM ADMINISTRATOR
Execution
- Configure the CRM so that the Won action is only available at the designated final stage, using pipeline settings and data validation rules.
- Set up required field validation that must be satisfied before an opportunity can be marked Won, ensuring all critical data has been captured before the record closes.
